Course cancellation, transfer & refund policy

K4 Training understands that circumstances can change. This policy explains the arrangements for cancelling a course booking, transferring a booking to another course date, substituting a learner and requesting a refund.

Important third-party fees notice:

Awarding-body, examination, certification, registration, administration or other third-party fees that have already been incurred and cannot reasonably be recovered may be deducted from any refund due.

FULL POLICY

+ 1. Cancellation by the Customer

All requests to cancel a course booking must be made in writing.

Unless otherwise stated at the time of booking, the following cancellation charges will apply:

* 28 calendar days or more before the course start date: A refund of the course fee will be provided, less any non-refundable awarding-body, examination, certification, registration, administration or other third-party fees already incurred on the learner’s behalf.
* 15–27 calendar days before the course start date: 75% of the refundable course fee will be refunded.
* 8–14 calendar days before the course start date: 50% of the refundable course fee will be refunded.
* 7 calendar days or fewer before the course start date: No refund will normally be provided.
* Non-attendance/no-show: No refund will be provided.

Where a learner has already been registered with an awarding body, examination organisation or other third party, any fees that cannot be recovered by us will be deducted from any refund due.

+ 2. Transfers to Another Course Date

Where circumstances permit, a customer may request to transfer their booking to another available course date instead of cancelling.

Transfer requests must be made in writing and are subject to availability.

Normally, one transfer will be permitted where the request is received at least 14 calendar days before the original course start date.

Requests received less than 14 calendar days before the course may be subject to an administration or rebooking charge and any additional third-party costs incurred.

A transferred booking may not subsequently be eligible for a refund if it is cancelled.

+ 3. Substitution of Learners

Where appropriate for the qualification or course, another learner may attend in place of the person originally booked.

Substitutions must be requested before the applicable awarding-body or registration deadline and are subject to any eligibility requirements and additional fees imposed by the awarding body.

Where registration has already taken place and cannot be transferred, the customer will be responsible for any additional registration or examination fees.

+ 4. Awarding-Body, Examination and Registration Fees

Certain courses require us to register learners, purchase examination materials, arrange assessments or pay certification and other fees to external organisations.

Once these costs have been incurred, they may be non-refundable.

Where a customer cancels or transfers a booking, any third-party costs that we cannot reasonably recover will therefore remain payable and may be deducted from any refund otherwise due.

+ 5. Failure to Attend or Complete the Course

No refund will normally be provided where a learner:

* fails to attend the course;
* arrives too late to participate or satisfy required guided learning hours;
* leaves the course after it has commenced;
* fails to provide required identification or documentation;
* does not meet published entry or eligibility requirements; or
* is unable to complete an assessment because of their own non-attendance or failure to meet course requirements.

This does not affect any statutory rights the customer may have.

+ 6. Cancellation or Rescheduling by the Training Provider

We reserve the right to cancel, postpone or reschedule a course where reasonably necessary, including because of insufficient learner numbers, trainer illness, venue problems or circumstances outside our reasonable control.

Where we cancel a course, customers will normally be offered either:

1. a transfer to an alternative available course date; or
2. a refund of the course fees paid to us for the cancelled course.

Where reasonably possible, we will give customers as much notice as practicable.

Unless required by law, we will not normally be responsible for consequential expenses incurred by customers, such as travel, accommodation, loss of earnings or other associated costs. Customers are therefore advised not to make non-refundable travel or accommodation arrangements unless necessary.

+ 7. Exceptional Circumstances

We recognise that exceptional circumstances can occur, including serious illness or bereavement.

At our discretion, and subject to appropriate supporting information where reasonable, we may offer a transfer, credit or other alternative arrangement.

Any third-party or awarding-body costs already incurred and which cannot be recovered may still be payable.

YOUR STATUTORY RIGHTS

Nothing in this policy is intended to exclude or restrict any rights that a consumer has under applicable UK consumer law.

Where a customer has a statutory right to cancel a booking, including any applicable cancellation rights relating to a distance or online contract, those statutory rights will take precedence over the standard cancellation terms above.
